Here we explain what personal data may be processed when you visit the REFIL website or contact us.
Data controller

What data may we process?
When you browse the site, our hosting provider may process technical data such as your IP address, request time, visited URL, browser type and error messages. If you email or call us, we process the information you provide, such as your name, email address, phone number and enquiry.
Purposes and legal grounds
- Communicating with customers and responding to enquiries about products or repairs — Article 6(1)(f) GDPR (legitimate interest in customer communications), or Article 6(1)(b) GDPR where the enquiry relates to a contract.
- Website operation, troubleshooting and security, including analysis of technical errors and server logs — Article 6(1)(f) GDPR.
- Compliance with applicable legal obligations associated with enquiries or transactions — Article 6(1)(c) GDPR.
Recipients of personal data
Where necessary to operate the service, data may be processed by hosting and email providers and authorised technical support providers. External links to Google Maps and Google reviews lead to Google services, which apply their own privacy terms.
OpenStreetMap
The map on our home page does not load automatically. Only when you click “Show map” does your browser connect to OpenStreetMap. The map provider may then receive technical connection data, particularly your IP address and browser details. See the OpenStreetMap privacy policy.
Google Fonts
For legible and consistent typography, the site uses Barlow Condensed and DM Sans fonts served through Google Fonts. Loading the site may establish a connection to Google servers and transmit technical data, including IP address and browser information. See the Google privacy policy. We do not use these fonts for advertising or behaviour analytics.
Cookies and tracking technologies
The current REFIL website does not include Google Analytics, advertising pixels or proprietary profiling scripts; its public code does not set its own cookies or write data to localStorage. The external map may use technologies provided by its operator only once activated. The hosting provider may independently use technical mechanisms necessary for connections and security; these need to be verified after deployment.
Data retention
We retain correspondence for as long as necessary to handle your enquiry and, where justified, until relevant limitation periods expire or the law requires retention. Technical logs are kept according to the hosting provider’s retention rules and for the time necessary for security purposes. The precise log retention period depends on the hosting configuration.
Your rights
Depending on the legal grounds and circumstances, you may request access, rectification, erasure, restriction of processing and data portability, or object to processing based on legitimate interests. To exercise these rights, contact kontakt@refil.com.pl. You can also complain to the President of the Polish Personal Data Protection Office (UODO).
Voluntary provision of data and automated decisions
Contacting REFIL is voluntary. Providing contact details is necessary if you wish us to respond. The site does not profile users or make decisions based solely on automated processing.
Changes
This notice applies to the current version of the website. It will be updated if new tools, services, forms or analytics are introduced.
